Manage Specifications gives you one overview of all specification documents in the project. Documents are shown in a tree, so you can see how they relate to each other.
The picture is an example of the Manage Specification with Molio Standard enabled.
Add a document
- Go to Spec → Manage.
- Click Add Document.
- Enter a name.
- Optional: Choose a Parent to place the new document under an existing document. The default is None.
- Click Add.
Note: Only your own top-level documents can be selected as a parent. To add documents from Molio, see Importing and exporting Molio specifications.
Open a document
Click the document name to open it in the editor.
Choose and arrange columns
You can show or hide columns, reorder them with drag and drop, sort by clicking a column header, and filter. Available columns: Document Name, ID, Type, Status, Discipline, Contract, Creator, Reviewer, Approver, Delivery Date, Creation Date, Created By, Modified Date and Modified By.
Your layout, sorting and filters are saved for you in each project.
Edit a document's information
- Open the context menu on a document and choose Edit.
- Update the fields. Document Name, ID and Status are mandatory, and the ID must be unique in the project.
- Confirm your changes.
Status can be Draft, Review or Approved. Creator, Reviewer and Approver are chosen from the project members.
Edit several documents at once
- Select the documents with the checkboxes. You can also use Ctrl and Shift.
- Open the context menu and choose Edit (batch).
- Choose a field and a value.
- Click Save and Close.
The value is applied to all selected documents.
Assign a contract
Choose a contract in the Contract field when you edit a document. When a top-level document has a contract, its child documents inherit it automatically, so the contract can't be changed on the child documents.
Reorganise documents
Drag a document onto another document to make it a child. You can use as many levels as you need.
Note: Molio documents follow the Molio structure. For example, a work specification can't become a child, and Molio documents and your own documents can't be placed under each other.
Delete a document
Open the context menu on the document and choose Delete.
